What responsibilities will you have in this role?
Reporting to the Human Rights Advisor/Director of the Diversity, Equity, Human Rights Office, the Operations Coordinator is responsible for the implementation of the College’s Human Rights Discrimination and Harassment Policy to ensure adherence to the Ontario Human Rights Code. The incumbent will be the first point of contact for people wishing to file complaints with the office of DEHRS, that come forward against one or more of the grounds under the Ontario Human Rights Code, and or complaints under the Sexual Violence Policy and Protocol.
The Operations Coordinator role requires complex and robust usage of skills and techniques in understanding the nature of complaints and determining if the complaints fall within the pursue of the DEHRS office and make the appropriate referral to an Advisor in the office. The incumbent must possess solid understanding of diversity and intersectional issues and work with students, faculty, admin, staff, contractors and visitors of the College.
- Acts as the Administrator of case management system coordinates regular system updates, liaises with external vendor and ITS department on current functionality and regularly test system capabilities and explore/implement new system functionality.
- Manages regular updates in the case management reporting and metrics.
- Trains DEHRS staff including Advisors on the use of HRIS (Banner) as it relates to the case management system.
- Provides direction to DEHRS Assistant, in organizing and coordinating orientation and services fairs and set-up of department activities.
- Manages the day-to-day operations of the office, such as file management, note taking, evidence gathering, printing, preparing for cases.
- Supports the triage of case requests via email or walk-in to the relevant case advisor for follow-up and/or resolution of issue.
- Acts as a liaison with the Financial Assistance & Awards office and leads the recruitment of two students in the work study program each academic year which includes: posting the job, resume and application screening, preparing interview questions, coordinating and conducting interviews and preparing and executing job offers to successful candidates.
- Supervises work study students, which includes coordination of work schedules, assignments and projects, and tracks and submits hours to Payroll for processing (bi-weekly).
- Leads the acquisition of promotional materials each year and works with vendors on design and final proofs of graphics on promotional items—includes tracking and replenishment of materials for all three campuses.
- Manages office supplies ordering for the department.
- Uses the case management system for data input and information retrieval for the Director and or Investigator.
- The incumbent will be the case management administrator and tasked with retrieving quarterly metrics that inform the activity of the office.
- Responsible for understanding the diverse needs and multicultural nuances that may require additional sources of external and/or internal resources for supporting the complainant and/or respondent.
- Remain confidential at all times respecting parties’ privacy.
- Supports the Director in managing their calendar.
- Assists the Director in compiling highly confidential documentation in preparation for internal and external investigations and or preparing for Human Rights Tribunal Cases.
- Responsible for reviewing, tracking and processing invoices for the department.
- Ensures a timely exchange of accurate information and gathering of supporting documents that reflect the practices under the policies and procedures of case management.
- Responsible for day-to-day office operational needs.
- Based on service needs, travel to other campuses may be required to support office operations.
- Other duties as required.
What qualifications do you need for this role?
- Three-year Diploma/Degree from a post-secondary institution in Business/Office Administration, Human Resources or Social Sciences (Criminology, Social Legal Studies, Psychology, Social Worker).
- Minimum 5 years office administration and case handling experience in a busy/high paced student and or employee services preferred.
- Experience working in a unionized environment and with various levels of employee groups.
- Strong ability to understand and interpret policy and protocol. Good judgement, critical thinking, communication skills.
- Organizational, analytical and administrative abilities; along with exceptional listening, mediation, negotiation and conflict resolution skills and the aptitude to maintain confidentiality are essential.
- Knowledge of relevant legislation, trends and best practices related to diversity, equity, human rights and anti-oppression theory considered an asset.
- Ability to exercise discretion regarding sensitive or confidential issues.
- Demonstrated leadership in delivering excellent service to others as this is key in supporting the success of our students and our College.
